Position Overview:

We are seeking a Procurement Coordinator who will play a crucial role in ensuring the efficient and smooth operation of our large retail client’s in-store projects. This role is 6 months to start, full-time hours, and involves vendor and invoicing tasks to ensure projects are executed successfully. This person will work 2 days in their Calgary office. 

Key Responsibilities:

  • Collaborate with internal teams and external suppliers to ensure timely completion of capital project deliverables

  • Conduct site reviews to confirm requirements as needed

  • Generate purchase orders and requisitions using internal procurement systems

  • Track project budgets, update cost projections, and monitor ongoing spend

  • Manage delivery schedules and logistics, including domestic and international freight coordination

  • Maintain communication with vendors, contractors, and project stakeholders to ensure aligned timelines

  • Participate in store walkthroughs at turnover and one-year warranty milestones

  • Address and resolve any fixture-related deficiencies or incomplete installations

  • Review invoices for accuracy, ensure proper coding, and submit through internal approval systems

  • Keep up-to-date records of capital expenditures and vendor commitments

  • Identify potential cost-saving opportunities through alternative sourcing and vendor negotiations

  • Respond to fixture- and procurement-related inquiries from field teams and internal departments

Qualifications & Experience:

  • Post-secondary education in business, supply chain, or a related field, or 2-4 years of relevant experience

  • Retail, construction, or store planning experience is considered an asset

  • Familiarity with procurement contracts and RFP processes is beneficial

  • Experience working with ERP and procurement platforms is preferred

Skills & Attributes:

  • Strong negotiation and vendor management capabilities

  • Able to lift up to 50 lbs and assemble fixtures/prototypes when required

  • Proficient in Microsoft Office Suite; Adobe Illustrator experience is a plus

  • Excellent organizational and multitasking skills with strong attention to detail

  • Self-starter with a proactive mindset, capable of working both independently and within a team

  • Effective communicator with the ability to work in a collaborative, fast-paced environment

  • Customer-focused and solution-oriented approach when handling inquiries and challenges
