Position Overview:
We are seeking a skilled Communications Specialist with a strong focus on developing and optimizing internal processes related to proposal development. As a key member of our client’s team, you will be responsible for enhancing efficiency, consistency, and quality in their proposal writing and submission processes. This role requires a detail-oriented individual with excellent communication and project management skills to streamline our client’s internal workflows and ensure successful proposal outcomes. This is a full-time, permanent position. It is a hybrid role with their office located in downtown Toronto. 

Responsibilities:

  • Develop and implement standardized processes and content blocks for proposal development, ensuring consistency and adherence to our client’s brand voice and guidelines. 
  • Collaborate with cross-functional teams and subject matter experts, to establish clear roles, responsibilities, and timelines for the delivery of their proposals. 
  • Identify opportunities to streamline and automate repetitive tasks in the proposal writing process, leveraging technology and tools to improve efficiency.
  • Conduct regular audits and reviews of existing proposal workflows to identify areas for improvement and optimization.
  • Train and support team members on proposal best practices, processes, and tools to enhance their effectiveness in proposal development.
  • Serve as a central point of contact for proposal-related inquiries, providing guidance and support to internal stakeholders throughout the proposal lifecycle.
  • Maintain a repository of proposal assets, including content, case studies, testimonials, and visuals, to facilitate efficient content reuse and customization.
  • Collaborate with internal stakehodlers to ensure alignment of proposal messaging with overall brand voice and positioning.
  • Implement feedback mechanisms and post-mortem reviews to capture lessons learned from completed proposals and drive continuous improvement.
  • Monitor industry trends, best practices, and emerging technologies related to proposal management and communication processes.

Qualifications:

  • Bachelor’s degree in communications, business, marketing, or a related field.
  • 4+ years of experience in proposal development, communications, or project management, preferably in a corporate or agency setting.
  • Proven track record of developing and optimizing internal processes to improve operational efficiency and quality of deliverables.
  • Strong project management skills with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
  • Excellent written and verbal communication skills, with the ability to craft clear, persuasive, and compelling content for internal and external audiences.
  • Proficiency in Microsoft Office and SharePoint.
  • Detail-oriented mindset with a focus on quality assurance and continuous improvement.
  • Ability to work collaboratively in a team environment and build positive relationships with stakeholders at all levels.
  • Problem-solving attitude with a proactive approach to identifying and resolving challenges in proposal processes.
  • Experience in the technology, consulting, or professional services industry is desirable.
  • French bilingualism or writing skills is a strong bonus.
