We are looking for a proactive, high-energy Executive Assistant & Office Manager to support a dynamic leadership team at a growing agency. This is a hybrid role combining executive-level support with office coordination – ideal for someone who’s detail-oriented, thrives in a fast-paced environment, and brings an eye for culture and atmosphere. 

You’ll be there go-to for keeping things running smoothly behind the scenes, from calendar wrangling and expense tracking to creating a welcoming office vibe. This role is integral to the energy and flow of the agency – and it’s perfect for someone who knows how to balance the practical with the personal. 

KEY RESPONSIBILITIES:

Executive Assistant:

  • Manage calendars across various partners
  • Schedule and coordinate meetings, including executive team sessions
  • Prepare meeting notes, follow-ups, and track action items
  • Assist with expense submissions and reconciliation
  • Act as a liaison between the partners and internal/external stakeholders
  • Help with onboarding/offboarding logistics when needed
  • Provide support on signing and managing digital documents

Office Manager:

  • Own the day-to-day vibe of the office; think hospitality and energy
  • Keep the space stocked, tidy, and running (snacks, supplies, mail, music, overall aesthetic)
  • Set up and troubleshoot tech in the board room as needed
  • Help manage basic budgets related to office needs
  • Support the upcoming office move and help shape the vision

  • You bring a positive energy, strong judgement, and are naturally solutions oriented
  • You’re organized, responsive and on top of it all
  • Comfortable balancing both EA and Office Manager duties; switching hats when needed
  • Strong communicator who is open to giving and receiving feedback
  • You have a keen eye for detail and love thoughtful environments
  • You care about people, process, and betterment

You Have:

  • Proven experience supporting multiple executives, ideally in a creative or agency setting
  • A background in administrative coordination or office management
  • Comfort with Google Suite and Slack
  • A knack for creating a welcoming and professional atmosphere; you contribute to culture
